Architekton is seeking a Project Coordinator to join our team. This position will work closely with the Operations Manager, Principals, Office Controller and Team Leaders to oversee and coordinate the contractual and financial health of the projects in the office. This position will be best suited for a candidate with a collaborative approach to problem-solving who is flexible, efficient, and detail oriented. You will be assisting in the organization of daily office functions including office management tasks and project-specific items. You will be responsible for completing multi-level task in a professional and timely manner.

RESPONSIBILITIES

  • Work with the administrative team and project managers to generate client invoices

  • Assist with coding and entering consultant and vendor invoices in the accounting and project management systems

  • Manage consultant and vendor accounts and relationships

  • Coordinate travel arrangements

  • Provide backup to the reception area and staff to ensure effective communication both internally and externally.

  • Support the design team

  • Help supervise the maintenance of office areas, equipment, and facilities

Required skills

  • A positive attitude and the ability to work as a team

  • Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)

  • Excellent written and verbal communication skills

  • Ability to multi-task, organize, and prioritize work

  • Experience with Zoom meetings and setup is a plus

  • Experience with accounting and project management software is a plus
